Description and Scope of Web Content Roles for the COE Website (07/2012)
Please note: these roles are intended for initiating, inserting, editing, and removing content from the new COE website as part of Web content publishing procedures.
Content Generators: those who initiate/provide any type of content (print, diagram, graphic, photo, related news items, etc.) to a Web editor or Web liaison for the purpose of having the content published on the COE website. This will be multiple individuals in the College, University, or community.
Authenticated Users: those who have an account within the COE website and are thus are able to login using their Duck ID. Authenticated Users can edit their own individual “bio” or profile and typically are listed in the COE website directory.
Web Reviewers/Approvers: those in a COE unit (academic, research, outreach, administrative) responsible for authorizing new content, as well as for reviewing and approving Web content for their particular unit(s). Typically this would be a department head, unit or program director, business manager, and/or dean.
Web Liaisons/Coordinators: the Web content and Web task coordinator for a unit. Thus, relating to web content, procedures, policies or issues, this person is the point of contact for one or more units in the COE. This role is the unit’s primary point of contact for collaboration with the COE’s Director of Marketing, Director of Events, Communications group, COE information technology team, etc. Web Liaisons would work with their unit’s “Web Editor” and “Reviewer/Approver” for communicating tasks and status of Web content for their unit(s). This role and the “Web Editor” role (see below) could be held by the same person; thus units will need to decide on the best method of assigning tasks relating to Web content coordination and Web content editing.
Web Editors: within a COE unit, Web Editors would log onto the COE website to insert or edit calendar events, announcements, pages, and photo galleries for their unit(s). Since Web Editors will log onto the COE website to do their work, they will have to be comfortable with the website’s editing tools (such as a WYSIWYG text editor) as well as the different options for editing and publishing a page or other Web content.
Therefore, Web Editors are responsible for learning the COE’s website’s content types and structure, the style guide for Web content, editing mechanisms, and procedures for coordinating with others to accomplish assigned web content tasks. Training will be provided for Web Editors and all those who will need to insert or modify COE web content. This role and the “Web Liaison” role (see above) could be held by the same person; thus units will need to decide on the best method of assigning tasks relating to Web content coordination and Web content editing.
